Changing Department Shared Voicemail Recording

Overview

This article has instructions for changing the voicemail greeting for a department phone extension that is connected to a shared email account and has been migrated to Exchange Online. To change the voicemail, you need an older Polycom phone with buttons. If there are none of these phones available in your department, please contact IT for assistance.

Change Department Voicemail Recording

Ensure that the phone shows the department shared account name at the top. If it shows a different account name, follow the Sign Out instructions and then the Sign In instructions. If it does not show the account name, follow the Sign In instructions.

  1. Press the button with an envelope icon.
  2. To change the department voicemail greeting, press 2 on the keypad.
  3. Follow the audio prompts to record the message.
  4. To check the voicemail greeting:
    1. Press the envelope button.
    2. Follow the audio prompts to listen to the message.
Sign Out of a Polycom Phone
  1. Press the button below More until the option "Sign out" is visible.
  2. Press the button below Sign out.
  3. Press Yes.

There should now no longer be an account name on the screen.

Sign Into a Polycom Phone

If the Polycom phone is already signed into another account, follow the Sign Out instructions before continuing.

  1. Press the button beneath Sign In
  2. Press the number on the keypad to select PIN Authentication.
  3. Enter the extension number.
  4. Press the Down arrow to select PIN.
  5. Enter the PIN. The default PIN is 229 followed by the extension number. If this PIN fails, contact IT for further assistance.
  6. Press the button beneath Sign In.
  7. Press the button beneath Done.

The account name should now appear on the screen.
