(NEW) How to Create and Edit Email Rules

Information

Rules allow you to move, flag, and respond to email messages automatically. You can also use rules to play sounds, move messages to folders, or display new item alerts.

Creating New Rules

Click on one of the choices below to view the contents.

New Outlook for Windows
  1. Click the Settings icon in the top right.
  2. Click Mail.
  3. Click Rules.
  4. Under "Rules" click + Add new rules.
  5. Create your new rule; add a name, condition, and action.
  6. Click Save.
Legacy Outlook for Windows
  1. Click the More Options button (the button with three dots at the top right of the screen).
  2. Under "Move and Delete", click Rules.
  3. Click Create Rules.
  4. Edit the conditions of the rule you wish to create.
  5. Click OK. 
Outlook for Mac
  1. In the toolbar at the top of the screen, click the Message button.
  2. Click Rules.
  3. Click Create Rule.
  4. Edit the conditions of the rule you wish to create.
  5. Click Save. 
Web Mail
  1. On the top right of the screen, click the Settings button (the button that looks like a cog).
  2. In the second tab in the box that appears, click the Rules button. 
  3. Click + Add New Rule.
  4. Edit the conditions of the rule you wish to create.
  5. Click Save. 

Edit Existing Rules

Click on one of the choices below to view the contents.

New Outlook for Windows
  1. ​​​​​​Click the Settings icon in the top right.
  2. Click Mail.
  3. Click Rules.
  4. Click on the edit icon on the rule you'd like to change.
  5. Click the trash icon if you'd like to delete the rule. 
  6. Click OK
  7. Click Save.
Legacy Outlook for Windows
  1. Click the More Options button (the button with three dots at the top right of the screen).
  2. Under "Move and Delete", click Rules.
  3. Click Manage Rules & Alerts.
  4. Click on the rule you would like to edit.
  5. Click Change Rule
  6. Make your desired changes to the rule.
  7. Click Apply.
  8. Click OK.
Outlook for Mac
  1. In the toolbar at the top of the screen, click the Message button.
  2. Click Rules.
  3. Click Edit Rules.
  4. Scroll through the list of rules until you find the rule you wish to edit.
  5. On the rule you wish to edit, click the Edit button (the button that looks like a pencil).
  6. Make your desired changes to the rule.
  7. Click Save.
Web Mail
  1. On the top right of the screen, click the Settings button (the button that looks like a cog).
  2. In the second tab in the box that appears, click the Rules button. 
  3. Scroll through the list of rules until you find the rule you wish to edit.
  4. On the rule you wish to edit, click the Edit button (the button that looks like a pencil).
  5. Make your desired changes to the rule.
  6. Click Save.
