Overview

This article outlines best practices for setting up and scheduling Zoom meetings and classes.

Best Practices

It is best to schedule your meetings in Zoom rather than to use a personal meeting room.  When scheduling a meeting you can configure your meeting to restrict or allow features that may prevent unwanted interruptions.

  • Give your meeting an appropriate Topic and Description - Students and meeting attendies are probably participating in several meetings and classes per day.  Providing a descriptive topic will help them navigate their day.
  • Set your scheduled meetings as recurring if they are scheduled regularly
  • Allow both telephone and computer audio -  Some participants may not have a good microphone or speakers on their viewing device.  Allow them to call in from their phone if they need better audio quality
  • Enable join before host vs. enable waiting room -  For some meetings or classes you may want the other participants to be able to interact before you arrive.  To enable this you should check the box next to "Enable join before host."  You may also want to force participants to wait for you to direct the conversation.  To accompish this, check the box next to  "Enable waiting room" instead.
  • Pre assigned Breakout Rooms - If you know in advance that you would like specific subsets of your participants to collaborate with each other and then return to the larger group, you can set these breakout rooms up ahead of time by checking the box next to "Breakout Room pre-assigned" and then clicking "+ Create Rooms".  Then follow the instructions on your screen.
  • Setting alternative hosts - If someone else is co-leading the meeting with you, it is a good idea to add them as an alternative host.  This will give them the same options you have for conducting the meeting.
